An administrator on your account can add users directly, without contacting support.
- In Dockflow, open Settings (bottom left) and choose Organisation.
- In the user list, click the + button to add a user.
- Fill in the email address, first name, last name and role. The email address becomes the login, so use the colleague’s own work address rather than a shared mailbox.
- Choose the role:
- User: works on the shipments shared with them.
- Viewer: read-only. Can see dashboards, shipment details and the Action Center task list, export to Excel and save personal views, but cannot change tasks, shipments or partners.
- Administrator: can also manage users, partners and settings.
- Leave the welcome email option on and save.
The colleague receives an email with a login link. Opening the link signs them in, and they can set a password afterwards if they want one.
Good to know:
- One email address can belong to one Dockflow account only. If the address is already used on another account, see the ‘Who can see what’ help page for the options (logging in as a related account, or sharing shipments as a partner).
- If nobody on your account can add users yet, ask support to give one person the Organisation Administrator role once. From then on, adding users is self-service.
- External companies such as customers, suppliers or forwarders should normally be added as a partner on the relevant shipments, not as users on your account.
Example
A new planner should follow shipments but change nothing. Add the planner’s own work address, choose Viewer, and leave the welcome email on. The planner opens the link, and can read dashboards and export to Excel straight away. If the planner later needs to work on tasks, an administrator can change the role to User. A planner at your forwarder is different: add that company as a partner on the relevant shipments, and do not add the person as a user on your account.
